How to create and launch a cold email campaign

Build a multi-step sequence in the four-step campaign wizard, choose your senders, set a sending schedule, and launch.

Start from Campaigns → New Campaign. The wizard has four steps (Basics, Sequence, Senders and Schedule), and you can save a draft at any point and pick up where you left off from the Campaigns page.

Step 1: Basics

Name the campaign and set the sender details prospects will see. Use a name that tells you the segment and offer at a glance. It makes a long campaign list much easier to manage.

Step 2: Sequence

Build the sequence on the visual flow designer, adding steps in the order prospects should experience them:

  • Email: an automated email. Write it yourself, start from a saved template, or generate a draft with AI.
  • Delay: wait a set time before the next step.
  • Manual task: a reminder for something you'll do yourself, such as a LinkedIn touch.
  • Call: a scheduled call step.

Personalize with variables: {{firstName}}, {{lastName}}, {{company}}, {{personalizedHook}} and {{signature}}. A good default is four to six emails spaced two to four days apart, each adding a new angle rather than simply bumping the thread.

Step 3: Senders

Choose which connected accounts send the campaign. With more than one account selected, sending rotates across them automatically so each inbox stays within a safe volume. Only active accounts appear here.

Step 4: Schedule & settings

  • Contact lists: select one or more lists to enroll.
  • Timezone, send days and sending window: Monday to Friday, 09:00–17:00 by default.
  • Minimum gap between sends: 5 minutes by default, so volume looks natural.
  • New prospects vs follow-ups: on Growth and above, choose what share of send slots goes to follow-ups versus first touches. On Free and Starter, due follow-ups are sent first.
  • Provider matching: send to Gmail prospects from Gmail inboxes and Outlook prospects from Outlook inboxes where possible.
  • Exclude personal email domains: skip gmail.com-style addresses in B2B campaigns.
  • Insert unsubscribe link and Stop on reply: both on by default. Leave them on.
  • Open and click tracking: on by default; switch them off if you'd rather keep emails as plain as possible.

Test, then launch

  1. Send a test email to yourself and check the formatting, variables and signature.
  2. On Growth and above, run a Spam Score check on the sending accounts.
  3. Activate the campaign. It sends within your schedule, and you can pause it at any time from the Campaigns page.

Next: warm up your inbox
